Booking individual hotel rooms for University travelers is not typically considered a contract activity. Click here for guidance relating to travel reimbursement, including lodging.
For any other hotel-type arrangements, including meeting rooms, conferences, exhibits, etc., the facility normally requires a written agreement which must be reviewed, formal legal approval obtained from General Counsel, and signed by Business Services. For arrangements made more than a year in advance, state law requires the University to insert a termination provision. Other routine issues encountered with hotel agreements include insurance coverages, indemnification provisions, and governing law issues for out-of-state facilities. Business Services will assist you in negotiating terms and conditions to ensure your experience is successful.
